How to write an address in the United States

Angela Milinazzo

5 monthsPreviously

Whether you’re trying to get food delivered to Uber restaurants, giving your parents an address, or trying to order a free SIM card, it’s important to understand how to enter a US mailing address to make sure everyone your parcels, correspondence and delays – late-night cravings are where they belong. Although it may seem obvious, a mailing address in the United States is slightly different from one in your home country. Understanding each of the components required for a correct address will prevent your package from being delayed or returned, so we’ve outlined the requirements below for your reference.

US addresses are written from most specific to least specific. The address includes:

  • Last name and first name of the recipient
  • Street number and name (address line 1)
  • Apartment or apartment and its number (address line 2)
  • City, state, and zip code (include all of these on one line with a comma between the city and state, but not the zip code)
  • nation

We’ll share the meaning of each part of the address, so you know why you need it and where to find it.

Recipient

Alright, that’s easy. Who will pick up the package or deliver it? Be sure to include your first and last name. If you are sending packages or shipping to more than one person, include the recipient’s first and last name.

Address Line

The first line of address should include the number of the house or building where you live and the name of the street where you live. The second address line only applies if you live in an apartment or multi-unit building, in which case you must include the specific apartment, suite, or apartment number.

Think of it this way: are there other apartments in the building? Do you have a personal mailbox for your neighbour? If you live in a house at 123 First Street with your family, you are the only resident, so mail will likely be sent directly to you. However, if you live in an apartment at 123 First Street with other apartments inside, you are not the only resident, so you must include “Apartment

Town

Another easy one! You see, it’s not too difficult. You will need to include the name of the town or city in which you live.

Status

On the same line as the city, you will want to include the name of the state in which you process mail or packages. There are 50 states in the United States. You can spell the state name in full or use its abbreviation, a list of which can be found here on the US Proposal Service (USPS) website:https://pe.usps.com/text/pub28/28apb.htm

Postal code

Postal codes are really important to ensure correct shipping. US zip codes are at least five digits long, with an optional four digit plug-in (provides more detail but is not required for submission.) You can find the correct zip code for the address using this link on USPS website:https://tools.usps.com/zip-code-lookup.htm

Andyes the numbers make sense. The first digit represents a part of the country, the second and third digits represent an area within that part of the country or part of the state, and the fourth and fifth digits represent a group of delivery addresses within that area. Postal codes provide shippers with specific but important information to ensure a successful delivery; otherwise, you run the risk of receiving undeliverable or even bounced mail.

nation

If you’re sending mail to a US address from an international location, be sure to put the US on the last line of your address.

Some additional tips
  • According to the USPS, “
  • Automatic mail processing machines read addresses on mail packets from bottom to top
  • and will first search for the city, state, and zip code. Then the machines look for a delivery address. If the machine cannot find any of the lines, your message may be delayed or misdirected. “That’s why it’s important to have every part of the address (and to make sure every part is correct).
  • If you are sending a letter or package, you can include the “return address” in the upper left corner of the package or envelope. The return address is simply the address of the sender or said package. If delivery fails, the post office or other delivery service may resend the letter or package to your return address.

Address an envelope correctly so it reaches its destination.

Step 1: Write return address

Write the return address – the sender’s address – at the top left corner of the envelope. Include the sender’s full name on the first line, street address or post office box on the next line, and city, state, and five-digit zip code on the third line.

Tip

Write legibly so that postal workers can read it.

Step 2: Address the recipient

Write the recipient’s information in the center of the envelope. Write their name on the first line, street address or post office box on the second line, and city, state, and five-digit zip code on the third line.

Tip

Adding the additional “plus-four” digits to the zip code, found at usps.com, will speed delivery.

Step 3: Place a stamp on letter

Place the correct postage on the top right corner of the envelope and put the envelope in a mailbox.
